Is SharePoint Good Enough as a Document Management System?

SharePoint IS good enough when:
Small team, already on M365, no regulatory compliance, have IT to configure it, mostly digital documents
SharePoint is NOT good enough when:
Regulated sector, complex retention rules, no IT resource, scanning paper, need audit trails, multiple document types with different workflows
What SharePoint Gets Right
Integration: SharePoint is deeply integrated with Teams, Outlook, and the rest of Microsoft 365. Documents stored in SharePoint are accessible in Teams channels, attachable from Outlook, co-editable in Word and Excel. If your business runs on Microsoft 365, SharePoint is already where your documents naturally live.
Search: Microsoft's search across SharePoint is genuinely powerful — full-text search, metadata filtering, and AI-powered discovery through Microsoft Copilot (in higher-tier plans). For finding documents, SharePoint is excellent.
Collaboration: Real-time co-authoring, version history, comment threads, approval workflows via Power Automate. For collaborative document creation, SharePoint is hard to beat.
Cost: Included in Microsoft 365 from £4.50/user/month. If you're already on M365, the incremental cost of using SharePoint as your DMS is zero.
What SharePoint Gets Wrong (Without Configuration)
No metadata enforcement: SharePoint allows metadata but doesn't enforce it. Documents can be saved without filling in any metadata fields. In practice, most users don't fill in metadata unless the system makes them — and SharePoint doesn't. The result: documents without metadata that can only be found by filename or full-text search.
No built-in retention automation: SharePoint has retention labels (via Microsoft Purview) but configuring them requires Microsoft 365 compliance admin access and significant setup effort. Most SMEs have never done this. Without retention labels, documents accumulate indefinitely.
No structured document control: Version history exists but there's no check-in/check-out workflow, no approval requirement before publication, no formal review cycle. For documents that need document control (ISO procedures, HR policies), SharePoint alone is insufficient.
Folder chaos is easy: SharePoint makes it very easy to create hundreds of nested folders with no consistent structure. Without a strict information architecture enforced by IT or policy, SharePoint libraries become digital filing cabinets with the same organisational problems as their physical predecessors.
No compliance modules: SharePoint doesn't include SRA-aligned features for legal, FCA requirements for financial services, or NHS data security controls for healthcare. These sectors need features that require either significant custom SharePoint configuration or a dedicated DMS.
The Configuration Question
Almost every SharePoint limitation can be addressed with configuration. Content types enforce metadata. Retention labels automate disposal. Power Automate creates approval workflows. Custom forms enforce filing discipline. The question is whether you have the IT resource to build and maintain this configuration.
A properly configured SharePoint environment — one that genuinely functions as a DMS — typically requires 30–60 hours of SharePoint consultant time to set up. At £600–800/day, that's £2,250–6,000. For a 20-person business, a dedicated DMS at £20/user/month costs £4,800/year but comes configured correctly on day one.
The Practical Test
Ask yourself these questions about your current SharePoint environment:
- Can any team member find any document within 30 seconds without knowing its filename or location?
- Do all documents in your libraries have metadata filled in accurately?
- Have you configured retention labels and tested that they work?
- Is there a consistent folder structure that all departments follow without exception?
- Does your SharePoint provide an audit trail of who accessed which document and when?
If you answered no to two or more of these, SharePoint isn't currently functioning as a DMS — it's functioning as a poorly organised file share. Either invest in the configuration to make it work, or look at a dedicated DMS that works correctly out of the box.
The Verdict
SharePoint is good enough as a DMS for small teams with simple needs and IT resource to configure it properly. It is not good enough as a DMS for regulated sectors, complex document workflows, or organisations without IT resource — unless significantly configured, which typically costs as much as a dedicated DMS licence anyway.
